Privacy Policy

This policy explains what information Invoice Maker handles, why it is needed, which service providers are involved, and how you can exercise your privacy rights.

1. Who is responsible for Invoice Maker?

Invoice Maker is provided by VHUSIKI SOFTWARE (PTY) LTD, trading as Vhusiki Software. In this policy, “we”, “us” and “our” refer to VHUSIKI SOFTWARE (PTY) LTD.

2. Information Invoice Maker handles

Depending on how you use the app, Invoice Maker may handle:

  • A pseudonymous Firebase user identifier and related authentication and security information.
  • Business information you enter, including business names, contact details, addresses, tax settings, payment details, locale, timezone and document preferences.
  • Customer information you enter, including names, contact details, addresses and tax information.
  • Invoice information, including drafts, issued invoice snapshots, line items, dates, statuses, totals, notes and PDF metadata.
  • A business logo you choose to upload.
  • Invoice numbering, monthly allowance and duplicate-prevention records.
  • Subscription information, such as the selected product, store, entitlement status and expiry date.
  • Diagnostic events, content-free error categories, code locations, timings and basic app/device details. Subscription diagnostics may include storefront country and subscription catalogue prices and currencies; these are not invoice amounts.

Invoice Maker does not independently collect the card-payment details used for subscriptions. Apple or Google handles store billing.

3. How we use information

We use this information to:

  • Create, preview, issue, find and preserve invoices.
  • Calculate and validate invoice totals.
  • Generate and share PDFs at your direction.
  • Maintain invoice numbering and document status.
  • Enforce the Free monthly invoice allowance.
  • Provide and verify Pro subscription access.
  • Prevent duplicate operations, abuse and fraud.
  • Secure, maintain and support the service.
  • Process account-deletion and privacy requests.

We process information only where permitted by applicable law, including where it is needed to provide the service you request, meet legal obligations, protect legitimate operational and security interests, or act on consent where consent is required.

We do not use business, customer, invoice, payment or PDF content for behavioural advertising.

4. Local and server processing

Draft editing, previews, invoice issuing, numbering and PDF generation happen on your device and work offline. The Free allowance is counted from records on that device. Cloud failures do not block or delay invoice issuing or PDF generation.

When a connection is available, issued invoices and related business and customer information can be copied to Firebase in the background for integrity checks and duplicate prevention. Generated PDFs are not uploaded by this background process.

This processing is not a cross-device recovery service. Invoice Maker V1 does not offer archive backup, archive restore or account-recovery functionality. Invoice numbers and allowance counts are device-local; the same number can occur on another device or after reinstalling.

Generated PDFs remain on your device unless you choose to share or save them elsewhere. Recipients and selected applications handle shared files under their own privacy practices.

Diagnostics and usage analytics

Crash and performance diagnostics are on by default. Usage analytics, which records screen and control interactions, is off unless you enable it. You can change these settings in the app. Disabling diagnostics stops further collection and clears pending app diagnostic reports and the on-device history; it does not erase reports already received by providers.

When diagnostics are enabled, subscription fault reports can be sent to Google Cloud Logging. They contain app/build information, store configuration categories, storefront country, subscription catalogue prices and currencies, and fixed failure categories. They do not contain credentials, purchase receipts, invoice content or customer information.

Diagnostic providers process installation identifiers and basic app/device information. Reports are not used for advertising. The local diagnostic timeline is bounded to 160 entries, seven days or 64 KB, whichever limit is reached first, and is shared only when you choose to send it. It is separate from automatic crash, performance and subscription diagnostic reporting.

5. Service providers

Invoice Maker uses:

  • Google Firebase for pseudonymous authentication, security checks, server functions, database records, business-logo storage, account deletion, Firebase Crashlytics, Performance Monitoring, optional Analytics and Google Cloud Logging.
  • RevenueCat for subscription entitlement and lifecycle processing.
  • Apple App Store or Google Play for subscription purchasing, billing, renewal, restoration, refunds and subscription management.

These providers may process information in countries other than your own, subject to their terms, privacy policies and applicable safeguards.

6. Subscriptions

Apple or Google processes subscription payments. Invoice Maker receives subscription status and entitlement information but does not receive the full payment-card details used for an App Store or Google Play purchase.

Deleting an Invoice Maker account does not cancel a store subscription. Users must cancel the subscription separately through Apple or Google.

7. Retention

Local information remains on the device until it is deleted through the app, the app’s data is cleared, or the application is uninstalled, subject to device behaviour.

Firebase records remain until account deletion, except where limited information must be retained for security, integrity, legal or unresolved deletion purposes.

After a completed account deletion, the service may retain a minimal deletion-completion receipt for up to 30 days so the app can confirm that deletion succeeded. This receipt does not contain invoice content.

Incomplete deletion requests may remain temporarily while the service safely completes or retries the deletion process.

RevenueCat and Apple or Google retain transaction-related records according to their own policies and legal obligations.

8. Account deletion

Users can permanently delete their Invoice Maker account and associated app data by opening Settings → Delete account or local data and completing the Delete account and data flow.

When Invoice Maker confirms that deletion is complete, the pseudonymous authentication identity, owned business information, customers, drafts, issued records, uploaded logos, related Firebase records, RevenueCat customer information and local app records have been removed, except for any limited records described in the Retention section.

Information already shared outside Invoice Maker, such as a PDF sent to another person or saved in another application, is controlled by its recipient or storage location.

9. Security

We use measures including owner-scoped access controls, authenticated server operations, Firebase App Check, input validation, secret management and data-minimising operational logs.

No electronic service can guarantee absolute security. Users should protect access to their devices and store accounts.

10. Your responsibilities

Invoice Maker users are responsible for having an appropriate lawful basis to enter and process another person’s information, including customer information included in an invoice.

11. Your privacy rights

Depending on applicable law, users may have rights to request access, correction, deletion, restriction, portability or objection, withdraw consent where applicable, or complain to the relevant regulator.

Requests can be sent to privacy@vhusikisoftware.co.za. We may need to verify that the requester controls the relevant account or data.

You may also lodge a complaint with the Information Regulator of South Africa. Its official website provides current contact details and complaint options.

12. Children

Invoice Maker is a business tool and is not designed or directed toward children.

13. Changes to this policy

We may update this policy when the application, service providers or legal requirements change. The current version and its last-updated date will remain available on this page.
